This policy explains what information AutomasysFlow collects through our website and our AI call answering platform, how that information is used and shared, and the choices available to you. It is provided for transparency and is not legal advice.
1.About AutomasysFlow
AutomasysFlow provides an AI-assisted call answering and workflow platform for home-service businesses. When a business subscribes, we help answer calls outside normal business hours, capture caller details, assist with scheduling and follow-up, and present the results in a dashboard.
For data about a business's own customers, that business is the party that decides how the information is used, and AutomasysFlow generally acts as its service provider.
2.Information you provide
Demo and contact submissions. Name, company, work email, phone number, trade, and any notes you include, so we can respond to your request.
Account information. Login credentials managed through our authentication provider, dashboard user profile details, and business account settings.
Configuration information. Business details, hours and coverage windows, services offered, frequently asked questions, escalation and notification rules, and the systems you choose to connect.
3.Information processed through the platform
Call information. Call metadata such as time, duration, caller number, outcome, and reason for the call. Where recording, transcription, or AI summarization is enabled and configured for a business, call recordings, transcripts, and summaries may also be processed, subject to applicable requirements. Not every call is recorded — recording depends on configuration and on the settings of the telephony provider in use.
Appointment information. Requested and booked appointments, service type, scheduled times, and related notes.
Customer and contact information. Names, phone numbers, email addresses, service addresses, and history associated with a business's customers.
Integration data. Information exchanged with the CRM, calendar, telephony, messaging, or analytics systems a business connects, together with the connection settings needed to maintain that link.
4.Technical and log information
Our infrastructure and service providers automatically record technical information such as IP address, browser and device type, pages requested, timestamps, and error or diagnostic logs. This information helps us operate, secure, and troubleshoot the service.
5.Cookies and similar technologies
We use browser storage that is necessary to keep you signed in and to remember dashboard preferences. If website analytics is enabled for our site, our analytics provider may set cookies or similar identifiers to measure aggregate site usage. We do not use advertising cookies on this website.
6.How we use information
Providing the service. Answering and triaging calls, capturing caller details, assisting with scheduling, syncing records to connected systems, sending follow-ups and review requests, and producing dashboard reporting.
AI-powered functionality. Automated and AI-based systems help understand callers, draft responses, summarize calls, and assist with lead qualification, scheduling, and follow-up workflows.
Support. Responding to questions, resolving issues, and configuring accounts.
Security and fraud prevention. Protecting accounts, monitoring for abuse, and investigating suspected misuse.
Analytics and improvement. Understanding how the service performs and improving reliability, accuracy, and features.
Legal obligations. Meeting legal, accounting, tax, and regulatory requirements, and responding to lawful requests.
7.How information is shared
We do not sell personal information. We do share information where it is necessary to run the service:
Service providers. Cloud hosting and database infrastructure, authentication, telephony and voice AI processing, email delivery, and analytics providers process data on our behalf and receive only what they need to perform their function.
Connected third-party platforms. When a business connects a CRM, calendar, messaging, or analytics platform, data is exchanged with that platform at the business's direction. Those platforms are operated by third parties under their own terms and privacy practices. Their appearance in our product does not imply any sponsorship, endorsement, or partnership.
Legal and business transfers. We may disclose information where required by law or in connection with a merger, acquisition, or sale of assets.
8.Data retention
We retain account, call, and related records for as long as an account is active and afterwards for as long as reasonably necessary to provide the service, resolve disputes, and meet legal, accounting, or reporting obligations. A specific retention schedule can be agreed with a customer; where none is agreed, the standard above applies. Customers may request deletion of their data by contacting us.
9.Data security
Access to the platform requires authentication, business data is logically separated and access-controlled so that each account sees only its own records, and data is transmitted over encrypted connections. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we work to protect information using reasonable administrative and technical safeguards.
10.Your rights and choices
Depending on where you live, you may have the right to request access to, correction of, deletion of, or a copy of the personal information we hold about you, and to object to or restrict certain processing. To make a request, email automasysflow@gmail.com. We may need to verify your identity before acting.
If your information was handled because you called a business that uses AutomasysFlow, please contact that business directly. We will assist them as their service provider.
11.Call recording and disclosure responsibilities
Recording, transcription, and AI disclosure settings are configurable per business. Each business is responsible for the notices and consents used in its greeting and for complying with the recording, messaging, and AI-disclosure requirements that apply to its operations and service area.
12.Children's privacy
The service is intended for businesses and is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has provided information to us, contact automasysflow@gmail.com and we will delete it.
13.Changes to this policy
We may update this policy as the service evolves. When we do, we will revise the "Last updated" date above, and we will provide additional notice for material changes.
